New Zion Baptist Church Annual “Back-to-School” Meeting Minutes Monday, August 1, 2005 @ 6:00 p.m. Committee Members Present: Sis. Delores Hill Sis. Sharon Smauldon Dea. Harry Nunn, Sr. Rev. Lillie Holman Sis. Roberta Dixon Ss. Betty Nunn Sis. Betty Smauldon Sis. Emma Brown The meeting opened with prayer and song. Business Discussed: a. Proposed Budget: The budget for this event is $500.00 from the Mission Academic Mentoring Program and $355.00 funding from the NZCA room rental earmarked for youth events. b. Event Date/Location: The committee agreed to host this event on our parking lot area instead of securing Riverdale Park. Rev. Holman will coordinate with the owners of the Red Duck to see if our members can park in their open area. Members will also be able to park across the street from the church in our vacant lot. This event will be held on Saturday, August 27", 2:00 p.m. to 7:00 p.m. c. Tentative School Items: It was agreed that the following school supplies would be given to our community and church children in attendance (approximately 50): book bags, pencils, paper, pencil boxes, rulers, notebooks, crayons and markers, etc. Various committee members will look into obtaining supplies from Wal-Mart, McDonalds, Albertsons, Harmons, the Swanson Foundation, etc. Sis. Betty Smauldon will do up letters for this _ purpose. Sis. Sharon Smauldon will contact Wonderbread Bakery, Sis. Emma Brown will contact the Swanson Founaation. d. Food Items: It was agreed that the following food items would be prepared: Hotdogs, chips, cookies, Capri-Sun drinks, hamburgers, etc. Sis. Betty Smauldon will check with the Pepsi Company to see if they can assist us. Sis. Betty Nunn will check on the purchase of Loft House cookies, Sis. Sharon Smauldon will check on securing hamburger buns/hotdog buns, etc. Sis. Nunn noted the church has an ample supply of condiments (mustard, catsup, mayonnaise, etc.). Each committee member is asked to bring a cooler for the drinks. Sis. Betty Smauldon noted that we may be able to obtain free ice from one of the Artic Circle Restaurants. Rev. Holman will also see if Bro. Ray Younger, Dea. Benny Frazier and some of the Laymen may be available to help us with the grilling of hotdogs and hamburgers. e. donations. Publication: Rev. Holman will ensure a notice goes in the church bulletin asking for school supply f. Items for Entertainment: Sis. Emma Brown will bring her karaoke system; Dea. Nunn will check with Bro. Anthony Carpenter to see if the children would like to do a youth talent show; Sis. Nunn will bring her balloon machine and balloons, Sis. Emma will check on a shade pavilion for our membership seniors to sit. Rev. Holman will check with Gateway Distribution about obtaining a cotton candy/snow cone machine for rent. g.
