The Privacy Rights of Parents and Students Act of 1976 set out requirements designed to protect the privacy of students concerning their records maintained by the campus. Specifically, the statute and regulations govern access to student records maintained by the University, and the release of such records. The law requires that the University must provide students access to records directly related to the student and an opportunity for a hearing to challenge such records on the grounds that may be inaccurate, misleading or otherwise inappropriate. The right to a hearing under the law does not include any right to challenge the appropriateness of a grade as determined by the instructor. The law generally requires that written consent of the student be received before personally identifiable data about the student is released from records to anyone other than a specified list of exceptions. The institution has adopted a set of policies and procedures, a copy of which may be obtained from the offices of Records and Registration, concerning implementation of the statutes and the regulations on the campus. The University is authorized under the Act to release "directory information" concerning students. "Directory information" includes the student's name, address, telephone listing, date of birth, program of study, participation in officially recognized activities and sports, weight and height of members of athletic teams, dates of attendance, degrees and awards received, and the most recent previous education agency or institution attended by the student, current quarter class schedule, and other "similar information." The above designated information is subject to release by the campus at any time unless the student specifically withholds permission to do so. Students have the right to file complaints with the Family Educational Rights and Privacy Act Office (FERPA), U.S. Department of Education, 330 "C" Street, Room 4511, Washington, D.C. 20202. The University is authorized to provide access to student records to campus officials and employees who have a legitimate reason or need to know. These persons are those who have responsibilities in connection with the campus' academic, administrative or service functions and who have reason for using student records connected with their campus or other related academic responsibilities. Transcripts Transcripts of credit may be requested at the Records Office, Administration Building, Room 103. Requests for transcripts made by anyone other than the student must be accompanied by a written release from the student. Transcripts picked up in person require presentation of picture identification. Requests made by mail must include the address where the transcript should be sent and the signature of the student making the request. Records Holds All student records will be withheld where the student has an outstanding financial obligation to Weber State. Student records include transcripts and diploma. Record holds may be imposed by, but are not necessarily limited to: financial aid, library, housing, campus police, and cashier. No records will be made available for any purpose until the outstanding debt has been cleared. Grade System *A "C-" cumulative grade point average is sub-standard for graduation. Courses coded non-degree (ND), repeat (RP), and academic renewal (AR) are not used in computing GPA. Note: GPA Calculation - Only letter grades (A through E and UW) are used in computing grade point average. The total number of grade points is divided by the total number of credit hours of the classes for which the grade points have been accumulated to determine the student's grade point average (GPA). A GPA of 3.5 represents "Honors" for the quarter. Student Services Interdisc.
