Show ADMINISTRATIVE AND ACADEMIC SERVICES ACADEMIC RECORDS/ GRADING Location: Administration Building, Room 103 Telephone: 626-6751 The Weber State College Records Office creates, maintains, and handles all student records according to established practices recommended by the American Association of Collegiate Registrars and Admissions Officers and according to the provisions of the Privacy Rights of Parents and Students (1976) (formerly Family Educational Rights and Privacy Act of 1974), and all subsequent amendments to this Act and the Uniform Practices Act of the State of Utah. These Acts, with which the institution intends to comply fully, were designated to protect the privacy of education records, to establish the right of students to inspect and review their education records, and to provide guidelines for the correction of inaccurate or misleading data through informal and formal hearings. Students have the right to file complaints with the Family Educational Rights and Privacy Act Office (FERPA), Department of Health, Education and Welfare, Washington, D. C, concerning alleged failures by the institution to comply with the Act. Local policy explains in detail the procedures to be used by the institution for compliance with the provision of the Act. Copies of the policy can be found in the Records and Registration Offices. Questions concerning the privacy rights of parents and students may be referred to the Dean of Student Administrative Services. Transcripts of credit may be requested at the Records Office, Administration Building, Room 103, at a cost of $2 for each official copy and which must be paid at the time of the request. Requests for transcripts made by anyone other than the student must be accompanied by a written release from the student. All transcripts requested to be picked up in person require presentation of a picture identification. Records Holds All student records will be withheld where the student has an outstanding financial obligation to the College. Student records include the following: Transcripts, report of grades, and diploma. Record holds may be imposed by, but are not necessarily limited to: Financial aid, library, housing, campus police, and cashier. No records will be made available for any purpose until the outstanding debt has been cleared. Grade System The current grade system consists of the following: A... Excellent C... Standard A... Unofficial Withdrawal I . . . .Incomplete ♦Students who register to audit a course who do not fulfill the intent of the policy may be withdrawn for non-attendance at the discretion of the instructor. A "W" will appear on the student's grade report form and transcript. The total number of grade points is divided by the total number of credit hours of the class for which the grade points have been accumulated to determine the student's grade point average (GPA). A GPA of 3.5 represents "Honors" for the quarter. Academic Renewal Petition The Academic Renewal Policy provides an opportunity for students to have their grade point averages recalculated using only those courses completed within the last ten years and those courses prior to the ten-year period where a "C" or better was obtained. The following criteria apply: 1. The applicant for academic renewal must be a currently enrolled undergraduate student. 2. Academic renewal may be requested only once during a student's academic career. 3. The policy does not apply to graduate students or students pursuing a second bachelor degree. 4. All grades of "D" or less earned ten years prior to the date of the petition will be discounted in the computation of the grade point average. 5. Courses whose grades are discounted for grade point purposes no longer satisfy academic course requirements. 6. Hours earned in classes discounted for grade point average purposes are also discounted for use in satisfying total and upper-division hour requirements. 7. The Academic Renewal Policy may apply to all credit granted by accredited institutions of higher education the student attended. 8. Only the way a student's grade point average is calculated will be affected by this policy. The academic record (transcript) will not be physically altered in any way. Responsibility for the administration of this procedure rests with the Director of Academic Records. Petition for academic renewal forms may be obtained at the Records Office. When the Records Office has processed the petition, a copy of the transcript will be sent to the student. Changing of Grades Grades submitted to the Records Office shall be unalterable except when formally changed by the instructor who submitted the grade. Grade changes should be submitted only when there has been an error in computing or recording of grades. A Records Office grade change form must be used when submitting a grade change request. Credit Given for Other Than College Experience * Advanced Placement Program Credit Students who complete a daily, full-year high school course as recommended by the committee on Advanced Placement of the College Entrance Examination Board, and pass the corresponding AP examination with a score of 3,4, or 5 are eligible for 12 hours of college credit. An additional 12 hours of credit is available for each AP exam passed with a score of 3 or above. Students interested in receiving AP credit from the college should have the results of their AP examinations forwarded to the WSC Admissions Office. *CLEP Credit The College Level Examination Program was conceived to give non-traditional students the opportunity to earn college credit by examination. The following types of examinations are offered through CLEP: Grading • 1. General Examinations - These examinations are designed to measure a broad area of general knowledge ordinarily required of students during the first and second year in college. Students who have been officially accepted and are presently enrolled at WSC may earn a maximum of 46 credit hours toward a degree for satisfactory scores on the exams. The areas include English Composition, Natural Sciences, Humanities, and Social Sciences. Credit is not granted for the Mathematics exam. 2. Subject Examinations - In addition to credit awarded for general examinations, students may also earn credit for satisfactory scores on subject examinations which have been accepted by specific departments. CLEP subject examinations cannot be taken for any course in which a student has previously registered. For detailed information including a list of subject examinations, test dates, and test registration procedures, contact the Testing Center. ♦Note: In order to receive AP and CLEP credit, students must be currently registered and pay a recording fee. Credit for comparable college classes for which a student has previously registered will be subtracted from the total credit awarded. Special Examination Credit A student may take special examinations in courses not covered by the College Level Examination Program (CLEP) or the Advanced Placement Program based on the following guidelines: 1. A student must be officially registered at the time the request for examination is made. 2. A special examination cannot be taken for any course for which a student has previously registered. 3. Credits earned by special examination are not considered part of the residence requirement. 4. A student may challenge courses described in the W. S. C. catalog with the approval of the department chairperson. 5. A student may not take examinations in more than one subject area at any one sitting. 6. Special examinations, although graded on a credit/no- credit basis, may be used to satisfy major, minor, and general education requirements. 7. Veteran's benefits will not be paid for credit earned by special examination. 8. A student will be charged a fee per examination as prepared by respective departments. Examinations prepared by departments may include more than one course for the same fee. Applications for special examinations may be obtained from the Graduation Office. General Information Extension or Correspondence Credit Weber State College may accept 45 hours of extension or correspondence credit toward graduation.
